Website information
When you visit my website, certain technical information may be collected through cookies and similar technologies, including information about your device, browser and website usage.
3. How I use your information and my lawful bases
Under UK GDPR, I need a lawful basis for using personal information. The basis depends on the purpose.
Bookings, appointments and payments
I use booking and contact information to arrange services, process payments, send confirmations and manage cancellations.
Lawful basis: Contract — Article 6(1)(b).
Client enquiries
I use contact details and correspondence to respond to enquiries and provide information you request.
Lawful basis: Contract, where you are enquiring about a potential booking, or legitimate interests — Article 6(1)(f) — for general enquiries.

I use relevant health, wellbeing and preference information to understand your needs, support your comfort and tailor your Reiki sessions.
Lawful basis: Consent — Article 6(1)(a), where I ask for your consent to this processing.
Health information is also subject to additional protection under Article 9, explained in section 4.
Strength and wellbeing coaching
I use information about your goals, circumstances, wellbeing, exercise experience and progress to provide relevant coaching, develop appropriate plans and support you throughout your programme.
Where coaching involves health information or other special-category personal data, additional data protection requirements apply, as explained in Section 4.
Client and treatment records
I maintain consultation forms, treatment consent records and session notes to support continuity of care, manage my business and maintain appropriate professional records.
Lawful basis: Legitimate interests — Article 6(1)(f), where applicable. Other lawful bases may apply to specific records and will be documented as appropriate.

I process necessary technical information to operate and protect my website. Optional analytics or marketing cookies are subject to the applicable consent requirements.
Lawful basis: Legitimate interests or consent, depending on the activity.
4. Health and wellbeing information
Information about physical or mental health, pregnancy, injuries and similar matters is classed as special-category personal data under UK GDPR.
This may include health information shared during Reiki consultations, strength coaching and wellbeing coaching. During coaching, you may choose to discuss experiences affecting your emotional or mental wellbeing. Where these discussions reveal information about your health, that information will receive the additional protections required for special-category personal data.
I will only collect information relevant to the service being provided and will not ask you to disclose more than you feel comfortable sharing.
To process this information, I need an Article 6 lawful basis and a separate Article 9 condition.
Where I rely on your explicit consent to process sensitive health information provided during Reiki, strength coaching or wellbeing coaching, I will explain what information is needed, why it is collected and how it will be used.
Explicit consent for processing special-category health information is separate from consent to receive a treatment or participate in coaching. I will only process this information where I have an appropriate lawful basis under Article 6 UK GDPR and a valid condition under Article 9.
You can withdraw consent by contacting me. This will not affect processing already carried out lawfully. If I can no longer process information necessary to provide a service safely and appropriately, I may be unable to continue that service.
Certain records may need to be retained where another appropriate lawful basis and, for special-category information, a valid Article 9 condition permit or require this, including where necessary for the establishment, exercise or defence of legal claims.
5. How I store and protect your information
I take reasonable steps to protect your personal information against unauthorised access, loss or misuse.
Reiki consultation forms, treatment consent records and internal session notes are stored through Acuity Scheduling.
As Wild Rose Within expands to offer strength and wellbeing coaching, relevant client consultation information, coaching plans and session notes may also be stored using secure digital systems.
Access will be restricted to authorised individuals, and appropriate measures will be taken to protect the confidentiality of personal and sensitive information.
I do not sell your personal information.

These providers may process information on my behalf as data processors. Some may also act as independent data controllers for particular activities, such as fraud prevention, account administration or compliance with legal obligations.
I take reasonable steps to ensure appropriate data protection arrangements are in place.
7. International data transfers
Some service providers may process or store personal information outside the United Kingdom.
Where this happens, appropriate safeguards will be used where required by UK data protection law.
8. How long I keep your information
I keep personal information only for as long as necessary for the purposes for which it was collected and to meet applicable legal, tax, insurance and professional requirements.
Financial records are retained for the periods required by HMRC.
Reiki consultation forms, consent records and session notes are retained in accordance with my records-retention arrangements, taking account of relevant insurance and legal requirements.
Where strength or wellbeing coaching services are provided, relevant consultation records, coaching plans and session notes will be retained only for as long as reasonably necessary to deliver the services, maintain appropriate professional records and meet applicable legal or insurance requirements.
Survey contact information is retained only for as long as needed for the purposes communicated to respondents.
When information is no longer required, it will be securely deleted or otherwise disposed of.
9. Confidentiality and sharing information
Information shared during Reiki consultations, treatments, strength coaching and wellbeing coaching sessions is treated confidentially.
I will not ordinarily disclose your health, personal circumstances or treatment and coaching information to other people without your permission, unless disclosure is required or otherwise by law. This may include responding to an emergency, establishing, exercising or defend legal claims.
Relevant information may also be processed by the service providers identified in Section 6, where necessary to operate Wild Rose Within.

Wild Rose Within may provide live online meditation and wellbeing sessions through Zoom or another suitable platform.
Some sessions, including Sunday Reset, may be recorded in full, including group discussions and participant contributions. Where a replay is included, access will be provided exclusively to people registered for that session, normally for seven days unless stated otherwise.
Your privacy and comfort are important. You’re welcome to keep your camera and microphone switched off and use your first name or a nickname rather than your full name.
Please be aware that if you choose to speak, turn on your camera or contribute through the chat function, your participation may be captured in the recording.
Participants will be informed of the recording arrangements before the session begins. Recordings will be access-restricted where possible and will not be made publicly available.
Recordings will be retained only for as long as necessary for the stated purpose, in accordance with Wild Rose Within’s retention arrangements.
14. Changes to this policy
I may update this Privacy Policy to reflect changes in my services, systems or legal obligations.
