3. In-Person Reiki Appointments & Practitioner Safety
Wild Rose Within operates as an independent wellbeing practice run by a sole female practitioner, with in-person treatments taking place in a private home treatment space in Chilworth, Surrey.
To support practitioner safety, privacy and security within this residential setting, in-person Reiki appointments are offered to women only.
This restriction applies specifically to in-person treatments. Wild Rose Within welcomes everyone to book Distance Reiki and online Pause sessions.
This arrangement has been developed with consideration of the single-sex service provisions in Schedule 3 of the Equality Act 2010, including relevant safety considerations, proportionality and the availability of alternative services.
If an appointment cannot be provided, Wild Rose Within will contact the client to discuss an alternative service or arrange a full refund of any payment received, without affecting statutory rights.
4.Bookings and payments
Appointments and events are subject to availability.
A booking is confirmed when you receive confirmation from Wild Rose Within or its booking system.
The price and any required payment will be displayed before you complete your booking.
Current payment arrangements include:
Standard in-person Reiki: £20 deposit at booking, with the remaining balance payable on the day.
Introductory Reiki Taster: £10 payable in full at booking. Available once per new client.
Distance Reiki: Full payment at booking.
Personalised Distance Reiki: Full payment at booking.
Sunday Reset: £10 payable in full at booking.
Payments may be processed securely by Stripe or another stated payment provider.
For future coaching programmes, memberships and digital products, payment arrangements will be clearly explained before purchase.
4. Our standard cancellation and rescheduling policy
I understand that plans sometimes change. Please contact me as soon as possible if you need to cancel or reschedule.
Individual Reiki appointments
Please give at least 24 hours’ notice.
If you cancel with at least 24 hours’ notice, any deposit or payment made will be refunded, or transferred to another available appointment if you prefer.
For cancellations with less than 24 hours’ notice or missed appointments, Wild Rose Within may retain or charge an amount reflecting reasonable losses directly caused by the cancellation, up to the applicable deposit or amount paid, where legally permitted.
Exceptional circumstances will be considered individually.
Introductory Reiki Taster
The same 24-hour cancellation policy applies to introductory appointments.
Online Sunday Reset sessions
Where you cancel at least 24 hours before the live session, I will offer a refund.
For cancellations within 24 hours, refunds will be considered in accordance with applicable consumer rights, the nature of the booking and any reasonable losses incurred.
Where a replay is included, access will be provided as described at booking.
These standard policies do not replace or restrict any applicable statutory cancellation rights explained in Section 5.
5. Statutory cancellation rights for online purchases
For eligible services purchased online or at a distance, UK consumer law generally provides a 14-day cancellation period, beginning the day after the contract is entered into.
During this period, you may cancel without giving a reason by contacting Wild Rose Within using the email address in Section 1.
You may use the model cancellation form at the end of these terms, but you do not have to use it. A clear email stating that you wish to cancel is sufficient.
Where statutory cancellation rights apply, any refund will be processed in accordance with the applicable legal requirements.
Services delivered within the 14-day period
If you wish to receive a service before your statutory cancellation period has ended, Wild Rose Within may ask you to expressly request that the service begins during that period.
If you subsequently cancel after the service has begun but before it has been fully performed, a proportionate charge may be payable where the legal conditions are satisfied.
Where a service has been fully performed following the required express request and acknowledgement, the statutory cancellation right may be lost.
Dated leisure activities and events
Certain services relating to leisure activities booked for a specific date or period may be exempt from the statutory cooling-off period.
Where a particular booking falls within this exception, the applicable cancellation arrangements will be explained before purchase.
Digital content
Digital programmes, downloadable resources and other digital content may be subject to different cancellation rules.
Where immediate digital access is offered during the 14-day cancellation period, the appropriate express consent and acknowledgement will be obtained before supply where legally required.
Nothing in these terms removes or reduces rights provided by UK consumer law.
6. If Wild Rose Within needs to cancel or rearrange
Occasionally, illness, emergencies or unexpected circumstances may prevent a session from taking place.
If I need to cancel, I will contact you as soon as reasonably possible.
You will be offered a suitable alternative date or a full refund for the affected service, according to your preference and applicable legal rights.
Where part of a service or programme has already been delivered, any appropriate refund will take account of the circumstances and legal requirements.
7. Circumstances beyond reasonable control
Events beyond the reasonable control of Wild Rose Within may occasionally prevent or delay a service. Examples include severe weather, significant power or internet outages, or other substantial unexpected disruptions.
I will take reasonable steps to minimise disruption and keep affected clients informed.
Where a service cannot be provided as agreed, I will seek to rearrange it or provide an appropriate refund for services not delivered.
Nothing in this section excludes any responsibility or consumer remedy that cannot lawfully be excluded.
8. Attending an in-person appointment
Please arrive at your agreed appointment time.
If you are running late, contact me as soon as possible. I will do my best to accommodate you, but your session may need to finish at its scheduled time to avoid affecting other clients.
Please contact me before attending if you feel unwell so we can discuss whether rearranging your appointment is appropriate.
Location details and arrival instructions will be provided as part of your booking information.
9. Health information, Reiki and treatment consent
Before your first Reiki appointment, you will be asked to complete a confidential consultation form and acknowledge the Reiki Treatment Information & Consent statement.
Please provide relevant and accurate information and inform me of significant changes to your health, wellbeing or treatment preferences before subsequent sessions.
Reiki is a complementary energy-healing practice originating in Japan. It is traditionally understood to work with universal life energy and support relaxation, balance and wellbeing.
Individual experiences vary, and particular outcomes cannot be guaranteed.
Reiki is not a substitute for medical or psychological advice, diagnosis or treatment.
You may ask questions, request changes to your treatment, decline physical touch or withdraw your consent to treatment at any time.
Treatment consent is separate from any consent requested for the processing of health information.
10. Online sessions
For online sessions, you are responsible for having access to a suitable device and internet connection.
You’re welcome to keep your microphone and camera switched off if you prefer.
To get the most from your session, I recommend joining from a safe, quiet and comfortable space where you can relax and participate without unnecessary interruptions.
Please do not share private session links with people who are not registered.
Where a technical issue substantially prevents Wild Rose Within from delivering a session, I will seek to provide a reasonable alternative or appropriate refund.
11. Recordings and replays
Online sessions, including Sunday Reset, may be recorded in full, including group discussions and participant contributions.
Where included in the booking, recordings will be shared exclusively with people registered for that session, with replay access normally available for seven days.
Your privacy and comfort are important. If you’d prefer not to be identifiable in the recording, you’re welcome to keep your camera and microphone switched off and use your first name or a nickname rather than your full name.
Please be aware that if you choose to speak, turn on your camera or contribute to the chat, your participation may be included in the recording.
Recording arrangements will be explained before the session. You should not make or distribute your own recordings without permission.
Replay links and recordings must not be shared, copied or distributed without permission.
Further details about the handling of personal information in recordings are provided in the Privacy Policy.
12. Coaching, fitness programmes and memberships
Where offered, wellbeing and strength coaching will provide support, guidance and education within the practitioner’s professional qualifications and scope of practice.
Fitness activities involve physical exertion and should be undertaken at a level appropriate to your circumstances, abilities and experience.
Clients should provide relevant health information and seek appropriate professional advice where necessary before undertaking exercise.
General fitness and nutrition information is educational and is not a substitute for individual medical or dietetic advice.
Digital programmes may include exercise instructions, videos, downloadable materials and other resources. Access arrangements and permitted use will be described at purchase.
Where recurring memberships are introduced, the price, billing frequency, minimum commitment (if any), cancellation process and access arrangements will be made clear before purchase.
Where online communities are offered, participation will be optional unless expressly stated otherwise. Community guidelines and relevant privacy information will be provided before joining.
Specific fitness participation terms, digital-content conditions and membership arrangements may apply to individual products and will be provided before purchase.
13. Professional responsibility and limitations of liability
Wild Rose Within will provide services with reasonable care and skill.
I aim to provide an appropriate, professional and supportive environment and will take reasonable steps to address foreseeable risks within the scope of the services offered.
Clients are encouraged to follow reasonable safety guidance and communicate concerns, discomfort or relevant changes in circumstances.
Wellbeing experiences and results are individual. No specific physical, emotional, fitness or other outcome is guaranteed.
Wild Rose Within does not exclude or restrict liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded.
Nothing in these terms excludes your statutory rights, including your rights where services are not provided with reasonable care and skill.
Any other responsibility or liability will be determined in accordance with applicable law.
14. Complaints and concerns
If you are unhappy with any aspect of a service, please contact me using the business email address in Section 1.
I will take your concerns seriously and aim to respond promptly and reasonably.
Nothing in this section affects your legal rights or available remedies.
15. Privacy
Your personal information will be handled in accordance with the Wild Rose Within Privacy Policy, available on the website.
16. Changes to these terms
Wild Rose Within may update these terms to reflect changes in services, business practices or legal requirements.
The terms applicable to a particular purchase will generally be those provided or made available at the time of that purchase.
Material changes affecting an existing booking or ongoing agreement will be communicated as appropriate, and your applicable consumer rights will be respected.
17. Governing law
These terms are governed by the laws of England and Wales, subject to any mandatory consumer protections that apply.
